Our client is an authority within the transport sector that works to facilitate the everyday life of residents traveling and commuting in the city of Stockholm. This is an authority with great commitment and pride in their important societal mission. As a consultant, you will be part of an important journey and together with the authority's employees contribute to a better everyday life for the residents of Stockholm.

We are now looking for a project administrator for a 12-month temporary position while the current role holder is on parental leave. You will be a key person who creates structure, supports clients and project managers, and contributes to an efficient working method in an organization with many contact points, both internally and externally.

You thrive in a fast-paced environment, are good at prioritizing, and enjoy organizing things – from documents and record-keeping to meeting structure, system administration, and invoice management.

Examples of tasks:

  • Perform document management according to internal routines and guidelines

  • Register documents in EDIT (Platina) and assist with requests for public documents

  • Write minutes at meetings and workshops and distribute and archive them

  • Book meetings and manage travel bookings as needed

  • Administer project tools (permissions, new users, features, etc.)

  • Manage orders for IT and office supplies, access cards to facilities, etc.

  • Invoice management and coding in Agresso (or similar systems)

  • Quality assure invoice documentation

  • Check reported hours from consultants and contractors

  • On/Off-boarding of project members and introduction of new personnel

  • Support in procurement and conclusion of consultancy assignments

  • Guide in administrative methodological support and administrative routines

  • Participate in the development of an administrator network

  • Other administrative tasks as needed by the manager/project leader

Requirements for the position:

  • At least 5 years of work experience as a project administrator from similar organizations, such as public transport, infrastructure, urban planning, technology, construction and civil engineering, vehicles, or IT

  • At least a high school diploma

  • At least 5 years of experience in case and document management, such as planning, folder structure, record-keeping, and archiving

  • At least 5 years of experience in invoice management in Agresso or similar systems, such as reviewing and coding invoices

Meritorious:

  • At least 3 years of experience as a project administrator in the public sector

  • At least 3 years of experience working in EDIT (Platina) or equivalent record-keeping systems

  • At least 3 years of experience administering web-based collaboration tools for projects, such as Avima, SharePoint, or similar

Before the assignment can begin, a security clearance will be conducted.
